Contract number formats compared

Contract numbers come in a few standard shapes. Each suits different volumes, tooling and reading habits. Here are the main formats with examples.

1. Smart scheme (YY-TYPE-SEQ)

26-NDA-0042 · 2026-MSA-0118 · 27-SOW-0007

Year, contract-type acronym and zero-padded sequence. Self-describing: the year and type are readable without a lookup. Best for organizations that file by year and report by contract type.

2. Prefixed sequential

CON-000123 · CTR-004517 · AGR-000089

A fixed prefix plus an ever-increasing sequence. Simple to implement (a database sequence does the work) and compact. Best for smaller volumes or single-type contract stores where the year is tracked elsewhere.

3. Random alphanumeric

CTR-8X4K2Q · CON-X7P2M9 · AGR-4KQ8XD

Prefix plus a random code. Opaque — reveals nothing about volume or timing — and easy to generate in application code. Best when numbers appear in customer-facing contexts or when you want to avoid leaking how many contracts exist.

4. Year plus random numeric

2026-004231 · 2026-118804

The signing year plus a random numeric block. Keeps the useful year signal while avoiding sequential predictability.

Whatever you choose, apply it uniformly, never reuse numbers, and decide whether sequences restart each year before the first number is issued.
